Managing Templates
The Templates screen allows Service Providers to create reusable templates for recurring campaigns. This reduces effort, ensures consistency, and improves the quality of communications.
While on the Templates screen, you can easily navigate to the Campaigns, Groups, or Recipients screen by clicking the Manage Campaigns, Manage Groups, or View Recipients quicklinks respectively.
Note: If you are a Manager or Trusted Advisor accessing Communication Hub through the Portal, you can only view the Templates associated with the companies that you have permission to access, so that you cannot view templates related to clients or employees outside your data security.
Accessing Templates Screen
To access the Templates screen:

Click the Manage Templates quicklink from any of the following dashboards:

Campaigns
-
Groups
-
Recipients
-
Procedures
You can:
Complete the following:
-
On the Templates screen, enter one or more keywords in the search field to display a list of items that contain the keyword(s).

You can search by the Title or the Last Updated column fields. Type two or more characters to filter the list.

Click the Toggle Filters button
and complete the following information as necessary to filter the list of items that display in the grid:-
Select a date range from the Last Updated date picker

Select a date range from the Created On date picker
-
Select one or more template statuses in the Status drop-down

(Optional) To reset and clear the filter criteria, click the
icon on each of the fields. -
(Optional) Sort data that displays in a list by completing the following:

Click a column header once to sort data in a list in ascending order by the value in that column.

Click the a column header a second time to sort data in a list in descending order by the value in that column.

Click the column header a third time to remove the sort option for that column.

Users who are managing the templates can easily edit them.
Complete the following:

(Optional) Use the filter or search options to narrow the list of items that the system displays in the grid.

Determine which template to edit.
-
Click the hyperlink text in the Title column.

Complete the information on each of the fields as necessary:

Template Header Name
Complete the information as necessary.

Click the pencil icon next to the template header name. A small editable pop-up displays.

Enter the desired name of the template.

Click the tick
button.

Email, Text (SMS), In-App, and Push Notification tabs
Complete the information as necessary.
Note: All fields denoted with an asterisk (*) are required. The edits that you make to the template cannot be saved unless all required fields are populated.

To add a language, click the Add Languages drop-down and select the desired language options. Each option selected will create a new tab.

Toggle the button for each section to expand them.

Make your desired changes in the Subject field. The Subject field is not available for the Text (SMS) section.

Similarly, make the desired changes in the body. You can format the message body using different formatting options available on the screen.

Use the options available in the AI Tools drop-down to Improve or Translate your message body.

Click Preview to view the template message to see how it will look on the recipient's device.

Under the Recipients tab on the right drawer that is displayed, select the desired recipient Group or Individuals.

Under the Template Settings tab on the right drawer that is displayed, you can edit the Description of the template. Additionally, you can set the status of the template from Draft to Published or vice versa. This tab also displays additional information such as the date on which the template was created and the date on which the template was last modified.

Click Save to so save your edited template successfully.

Click Save & Publish to save your edited template and change the template’s status to Published. Once a template is Published, it becomes available to be used to clients to use the template as a campaign's starting point.
You can easily create a new campaign by using existing templates that are in Published status so that you do not have to leave the Template dashboard and start a separate create-campaign process. This gives the flexibility of using a template directly from the Templates screen and create a campaign out of it while targeting your recipients.
Complete the following:

(Optional) Use the filter or search options to narrow the list of items that the system displays in the grid.

Determine which template you would want to use for creating a campaign.

Click the three-dot menu and click Create Campaign. This option is available only for templates that are in Published status.

A new message campaign with a heading of the template displays with all the data pre-filled from the selected template. This uses the same screen that is used while creating a campaign.

While creating a campaign using a template, same recipients and delivery methods are displayed that were configured while setting up the template. However, you can edit the inputs as per your business requirements.

If you do not want to save or send the campaign that you created using the template, simply click Cancel.
Users can delete a template from the system.
Complete the following:

(Optional) Use the filter or search options to narrow the list of items that the system displays in the grid.

Determine which template to delete.

Click the three-dot menu and click Delete.

A confirmation dialog displays. Click Delete to delete the template, or click Cancel to return to the Dashboard without deleting the template.
